This Privacy Policy describes Our policies and procedures on the collection, use and disclosure of Your information when You use the Service and tells You about Your privacy rights and how the law protects You. We use Your Personal data to provide and improve the Service. By using the Service, You agree to the collection and use of information in accordance with this Privacy Policy. ### Interpretation and Definitions Interpretation

The words of which the initial letter is capitalized have meanings defined under the following conditions. The following definitions shall have the same meaning regardless of whether they appear in singular or in plural. Definitions For the purposes of this Privacy Policy:

Account means a unique account created for You to access our Service or parts of our Service.

Affiliate means an entity that controls, is controlled by or is under common control with a party, where "control" means ownership of 50% or more of the shares, equity interest or other securities entitled to vote for election of directors or other managing authority.

Company (referred to as either "the Company", "We", "Us" or "Our" in this Agreement) refers to Open Tickets (Pty) Ltd, Lynnwood Glen, Pretoria.

Cookies are small files that are placed on Your computer, mobile device or any other device by a website, containing the details of Your browsing history on that website among its many uses.

Country refers to: South Africa Device means any device that can access the Service such as a computer, a cellphone or a digital tablet.

Personal Data is any information that relates to an identified or identifiable individual.

Service refers to the Open Tickets website, Open Tickets Wallet, Open Tickets Public Scanner and the associated services operated by Open Tickets.

Service Provider means any natural or legal person who processes the data on behalf of the Company. It refers to third-party companies or individuals employed by the Company to facilitate the Service, to provide the Service on behalf of the Company, to perform services related to the Service or to assist the Company in analyzing how the Service is used.

Usage Data refers to data collected automatically, either generated by the use of the Service or from the Service infrastructure itself (for example, the duration of a page visit).

Website refers to Open Tickets, accessible from http://opentickets.co.za or any other website managed by us on behalf of event promoters.

You means the individual accessing or using the Service, or the company, or other legal entity on behalf of which such individual is accessing or using the Service, as applicable. 

###OpenTickets Wallet App: 

OpenTickets Wallet Summary: “OpenTickets Wallet uses a secure ticket link to retrieve a customer’s tickets from OpenTickets. The app receives ticket and event details, which may include the ticket holder’s name or email address, ticket number and barcode. It stores the imported tickets securely on the customer’s device so they can be displayed and used for entry. Ticket information is used to provide and validate tickets.”

 Company Responsible for Wallet and Ticketing Service

Open Tickets (Pty.) Ltd is responsible for the Open Tickets Wallet and Ticketing Service.

1. Data Use, Analytics, and Sharing

Analytics & Marketing: Wallet data is used internally to optimize app performance, troubleshoot bugs, and improve user experience. Personal wallet data is never used for targeted marketing without explicit, opt-in consent from the user.

Third-Party Sharing: Data is not sold to third parties. It is only shared with trusted service providers necessary to run the app (such as secure cloud hosting providers or essential blockchain infrastructure tools). Any shared data is strictly limited to what is required to perform the service, and these partners are bound by strict confidentiality agreements.

2. Post-Event Data Deletion & Retention

Standard Deletion: Personal ticket data (such as names, event entries, and specific ticket codes) is automatically scheduled for erasure or anonymisation within 12 months after the event concludes.

Exceptions for Retention:

System Logs: Operational system logs may retain minimal, technical metadata for up to 24 months to ensure platform security and troubleshoot post-event issues.

Backups: Data persists in encrypted, secure backups for up to 36 months before being permanently overwritten. These backups are inaccessible during standard operations.

Legal & Financial Obligations: Under South African law (e.g., SARS requirements), transactional records and financial proof of purchase must be securely retained for 5 years.

3. Customer Deletion Requests (support@opentickets.co.za)

The Process: Customers can email support@opentickets.co.za with the subject line "Data Deletion Request." The support team will verify the user's identity before processing the request to prevent unauthorized deletions.

What is Deleted: All personally identifiable information (PII), including the user profile (name, email address, phone number), linked wallet addresses (from local app storage), and active marketing preferences.

What is Retained: Anonymised transaction history (for financial accounting metrics) and any data required to comply with active legal or tax retention periods.

Time Frame: The request will be acknowledged within 48 hours, and the complete deletion process will be finalized within 30 days of identity verification.

Open Tickets Public Scanner

Purpose and responsibility

Open Tickets Public Scanner is an event access-control application operated by Open Tickets (Pty) Ltd. Authorised event staff use it to authenticate scanning devices, access assigned event information and validate tickets for entry and exit. Public Scanner requires an online connection for ticket validation.

Information processed

The app processes information necessary to operate and support event scanning, which may include:

  • Authentication information, including scanner-login QR codes or access tokens.
  • Assigned event details, ticket categories and access settings.
  • Ticket-holder names, ticket identifiers, barcodes, ticket types, seating information and validation status, where supplied by the ticketing system.
  • Scan records, including the ticket identifier or barcode, scan timestamp, entry or exit direction, scanner position and validation outcome.
  • Device and app information, including an installation identifier, scanner name, device model, manufacturer, operating-system version and app version.
  • Diagnostic information, including application logs, error details and synchronisation results.

How information is used

We use this information to authorise scanner access, load assigned events, validate tickets, prevent duplicate or invalid admission, maintain entry and exit records, synchronise event activity and investigate operational or security problems.

Camera access

The app uses the device camera to read authentication and ticket QR codes or barcodes, and supported configuration QR codes. Camera frames are processed for live scanning; full camera images are not routinely saved or uploaded.

Device storage and required logout after each event

During an event, the app stores information needed for the authorised scanning session, including downloaded event and ticket information and captured scan records.

Authorised staff are required to log out after each event before preparing the device for another event. As part of the completed logout process, captured event information is synchronised to the Open Tickets server, and the event and scan information held for that session is deleted from the device.

The next event begins with a new login and a fresh event session. Information from the previous event is not carried forward as locally stored event data.

Deleting event information from the device does not delete the corresponding server records. Device-registration information and diagnostic logs are managed separately from event-session data.

Server processing and service providers

The app communicates with Open Tickets services to authenticate devices, retrieve assigned event information, validate tickets and upload scan records and diagnostic information.

Information may be processed by authorised hosting, infrastructure and technical-support providers acting on behalf of Open Tickets where necessary to deliver and maintain these services. Access is restricted to authorised personnel and providers who require it for their duties.

Diagnostics and user-initiated sharing

The app generates diagnostic logs to help investigate errors and support event operations. Diagnostic files may be uploaded automatically when an application error occurs.

Authorised staff may also deliberately export or share scan-history or diagnostic files for operational purposes or support. Exported copies are separate from the app’s local event storage and must be handled securely by the person sharing or receiving them.

Server retention

Server records are retained for as long as necessary for event administration, security, audit requirements, support investigations, contractual obligations, dispute resolution and applicable legal requirements. Records that are no longer required are deleted or de-identified in accordance with the applicable retention arrangements.

The event logout and device-cleanup process does not determine how long server records or backups are retained.

Access, correction and deletion requests

To request access to, correction of or deletion of Scanner-related personal information, email support@opentickets.co.zawith the subject “Scanner Privacy Request”.

Please provide sufficient information to identify the relevant event, ticket or scanner session. We may verify the requester’s identity and authority before processing a request. Some records may need to be retained where a legal obligation or other lawful basis applies.

Security

We use authentication, access controls and platform storage protections to help protect Scanner information. Scanner access must be limited to authorised staff. No method of electronic storage or transmission can guarantee complete security.

General
